Boundary Electric is seeking a detail-oriented and proactive Operations Executive Assistant to join our team!!

The Operations Executive Assistant will provide a high-level of administrative and coordination support to the VP of Operations. This role will play a critical part in ensuring the smooth execution of daily tasks, strategic initiatives, and cross-functional coordination within a fast-paced manufacturing and production environment.

The Operations Executive Assistant will manage the VP’s calendar, communications, and day-to-day scheduling to support leadership priorities and operational flow. This role will anticipate needs, manage competing priorities, and maintain a high level of professionalism and confidentiality. The OEA will demonstrate initiative, discretion, and strong organizational skills. They are detail-oriented, solution-focused, and able to pivot quickly in response to changing priorities.

Key Responsibilities:

Executive & Operational Support

  • Manage and maintain the VP of Operations’ calendar, including scheduling meetings, site visits, production reviews, and key appointments.
  • Anticipate the VP’s needs and proactively manage priorities, deadlines, and time-sensitive items.
  • Coordinate cross-departmental communications and ensure timely follow-up on action items.
  • Prepare and organize documents, reports, and presentations.
  • Assist in the preparation of operational reports, KPIs, and performance dashboards.
  • Support the execution of strategic initiatives, including process improvements.

Administrative & Logistical Coordination

  • Coordinate logistics for meetings, including preparing agendas, taking minutes when required, and tracking deliverables.
  • Arrange travel, accommodations, and itineraries for the VP and visiting stakeholders.
  • Maintain and organize confidential files, contracts, and operational documentation.
  • Assist with expense reporting and other administrative tasks as assigned.

Office & Team Support

  • Act as a liaison between the VP and internal departments or external stakeholders to streamline communication and ensure alignment.
  • Support onboarding and training logistics for new operations staff.
  • Assist in planning and executing internal events and team building activities.
  • Serve as the first point of contact for individuals entering the building, offering a welcoming presence and directing or escorting them to the appropriate person or location.
  • Manage incoming phone calls and inquires, ensuring they are directed to the appropriate team member or department.

Other

  • Perform other duties as assigned to support operational and administrative needs.

Qualifications

  • 3+ years of experience in an Executive Assistant, Operations Coordinator, or similar role.
  • Strong understanding of production environments and operational workflows.
  • Excellent organizational, time management, and multitasking skills.
  • High-level of discretion and professionalism in handling sensitive information.
  • Proficient in Microsoft Office Suite and ERP systems.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Commitment to workplace safety and continuous improvement.
  • Availability to work full-time.

Job Types: Full-time, Permanent

Salary: $28.00-$32.00 per hour

Expected hours: 40 per week
